Description: Spares administrator required for busy customer support department
Salary: to £16,500 plus benefits
Our client is recognized as one of the UK’s market leaders in the area of automated materials handling solutions, and as a result of continued success and a planned program of strategic growth, they are now seeking to recruit an enthusiastic and self motivated Spares Administrator to compliment their established and successful team. Reporting to the Section Leader within the Spares Customer Service and Support department, the successful candidate will be responsible for all aspects of supporting spares order processing and administration by providing information to internal and external customers and using the ERP system to ensure that invoicing, ordering, quotation enquiries and goods received notes are cleared or progressed daily.
You will perform a diverse range of duties that will include running billing request reports, checking for order number and carriage charges and generating invoices for goods dispatched to customers the previous day, scanning and emailing invoices to customer contacts, checking emails, progressing external Orders and Quotation Requests as well as Material Supply Requests and general queries, as well as raising queries relating to Non part numbered items with relevant suppliers. Additionally you will confirm signed off orders and fax information to suppliers, and enter Purchase Order numbers whilst expediting outstanding /overdue orders to obtain improved or more accurate delivery dates.
You will convert Purchase Orders from requisitions received from the field service team and a range of other invoice and purchase order related activities all geared towards the accurate, efficient and smooth running of the spares administration function. Liaising closely with a range of internal customers including Parts Controller Buyers and Administrators, Site Managers, Stores and Service controllers as well as suppliers and customers through telephone enquiries, it is essential that the successful candidate demonstrate exceptional communication and organisational skills and the ability to work effectively under pressure. As occasional supplier visits may be required, a driving licence is also essential.
